Salary:  £28,498 - £29,922 per annum (dependent on skills and experience)

Location: Science and Technology Facilities Council, Rutherford Appleton Laboratory, Harwell, Oxfordshire (this role will be based at RAL, however, both hybrid and flexible working are fully supported)

About us

As a member of the STFC Executive Support Office you will be working at the very heart of the organisation. Reporting to the Private Secretary to the Executive Chair, you will be part of a friendly and profession team that interfaces with Directors and their teams as well as being a key point of contact for STFC Council members. You will also provide support to the Stakeholder Engagement group on the organisation of VIP visits to RAL. This position has scope for career development and for post holder to develop both themselves and the role.

About the role

The role is to provide secretariat support for the STFC Executive Board and Council to ensure efficient governance of STFC. It also support visits to STFC from key stakeholders from both in the UK and internationally.

Main Duties and Responsibilities include:

•    overseeing the forward schedule of papers for Executive Board and Council, liaising with Directors and paper authors, checking quality of papers and distributing them via SharePoint
•    leading on meeting arrangements and logistics for the Executive Board and Council meetings including booking meeting rooms, accommodation, transport, dealing with 3rd party suppliers etc.
•    being a key point of contact for STFC Council members including assisting with the on-boarding process, maintaining Council members’ register of interests and oversight of expenses
•    developing and updating Council and Executive Board web pages
•    providing admin support for VIP visits to RAL including registering visitors, booking meeting rooms & catering, helping to secure senior staff, circulating visit programmes & agendas to attendees, and responding to any last minute logistical issues

Person Specification

The criteria below will be assessed at Shortlisting (S), Interview (I) or both (S&I)

•    experience of working in a similar administration environment (S&I)
•    clear, concise and professional written and verbal communication skills with the ability to communicate with staff at all levels and demonstrate high level of discretion (S&I)
•    good levels of accuracy and attention to detail (S&I)
•    strong organisational skills with the ability to self-organise, plan and prioritise, to meet deadlines and achieve objectives (S&I)
•    supportive of colleagues and the team and willing to adapt during particularly busy periods (I)
•    Ability to deliver under pressure and in a sometimes ambiguous/changing environments, taking initiative where required (I)
